Microsoft Outlook Web Access Directions

1. Open Mozilla Firefox or Microsoft Internet Explorer to the Concordia Theological Seminary Web Page. (www.ctsfw.edu)

2. Click on the CTS Webmail link.

3. In the blank noted "Log On", type in your user id.

4..Type User name (Example: doedp) into the User Name box and your password into the Password box. Press Enter or click the OK button. You have successfully logged into the Seminary Web Access Server! Microsoft Outlook Web Access will open with the Inbox folder open.

Toolbars

There are a number of toolbars in Outlook Web Access to help you perform various tasks. Your Inbox, calendar, contacts, and public folders have their own toolbars, with buttons specific to their function. There are several buttons, however, that are for more general administrative functions, and are available in more than one location. They are described in the following chart:

Click this button for Help specific to the window you are working in.
New This drop-down menu is available at all times. The option displayed on the button varies, depending on the window you are working in, as does the list of options that displays when you click the down-arrow to the right of the button. Use the Folder option to create a new folder.
Check for New Messages Click this button to check if you have any new messages. This also refreshes your browser window.
Move/Copy This button opens the Move/Copy dialog box, which allows you to organize messages or other items in your mailbox. You can move messages from one folder to another, or copy them to a different location.
Delete Highlight an item in the main Outlook Web Access window, such as a contact, appointment, or message, and then click this button. The item will be moved to the Deleted Items folder.
Show/Hide Preview Pane Click this button to activate the Preview Pane, which allows you to view a portion of your messages without opening them.
Address Book Click this button to open a dialog box that allows you to search your organization's address list.
Log Off This button will log you out of the email system. You can then hit the close button to exit out of browser.

You can Empty your Deleted Items by right-clicking the Deleted Items then clicking on Empty Deleted Items. This permanently removes all items in your Deleted Items folder. The Outlook Bar, located to the left of the main folder viewer, offers a number of shortcuts to your personal folders, as well as a listing of your private and public folders.
Folders
The Folders tab displays your personal folders and your organization's public folders. Folders are displayed in a hierarchy, so that you can expand folders as necessary to view subfolders, or collapse the hierarchy to view only the top-level folders. A plus-sign [+] beside a folder will indicate that there are sub-folders nested within them. To view the next level in the folder hierarchy, click the plus-sign.
When you click on any folder in the Outlook Bar, its contents will be displayed in the Outlook Web Access viewing panel.

Outlook Bar

Inbox – Displays messages in your Inbox
Calendar – Allows you to view and add appointments to your calendar.
Contacts – Displays your contact list for CTSFW
Tasks – Displays Tasks
Public Folders – Displays messages in Public folders
Rules – Allows you to set rules to messages.
Options – Allows you to set options such as an Away message and Deleted Items recovery.

5. Reading Your Email

a. Be sure that your Email Inbox is selected. (It will say “Your Name: Inbox” in the header of the Outlook Screen)
b. Double-click on the sender's name in the FROM column of the Inbox to open the message.
c. Single-click the X in the upper right and corner of the window to close the message.

5. Reply to sender, Reply to all and Forward email functions.

a. Reply to an email message.
1. Highlight the email you want to reply to.
2. Single-click the reply button on the toolbar.
3. Type the reply to the email message.
4. Single-click the Send button.

b. Reply to all
1. Highlight the email you want to reply to.
2. Single-click the Reply All button on the toolbar.
3. Type the reply to the message.
4. Single-click the Send button.
Note: The message will be sent to everyone in the To and CC fields.

c. Forward a message to a third party.
1. Highlight the email you want to forward.
2. Single-click the Forward button on the toolbar.
3. Type the reply to the message.
4. Single-click the Send button.

6. Sending Email to CTSFW addresses.

a. Log onto CTSFW Web Access
b. Single-click on the Compose new message button located in the upper left of the Outlook Window.
c. Type the recipient's name using the first name, last name format into the TO: field of the new message window. (ie. John Doe)
d. Type the Subject of the message in the Subject area of the new message window.
e. Type the body of the message.
f. Single-click the send button to send the email.

7. Sending Email to Non CTSFW addresses.

a. Single-click on the Compose new message button located in the upper left corner of the Outlook Window
b. Type the recipient's name using the complete email address of the recipient (ie. joeuser@gmail.com)
c. Type the Subject of the message in the Subject area of the new message window.
d. Single-click the send button to send the email.

8. Check for new email messages

a. Start CTSFW Web Access and log in as you normally would.
b. Navigate to the Inbox Window
c. Single-click the Check for New Messages button from the toolbar.

9.Deleting email messages

a. Navigate to the folder that contains the message you want to delete.
b. Highlight the email message that you want to delete and single-click the X to delete the message that is selected.

10. Sending Attachments

a. Start Microsoft Outlook Web Access and select the Compose New Email Message Icon.
b. Single-click the Attachments tab at the top of the new message window.
c. Single-click the Browse… button and select the file that you want to attach to your email.
d. Single-click Open. (the document path will appear in the browse field)
e. Single-click the Attach button to add the attachment to the email.
f. Single-click the Close button to return to the message text window.
g. Single-click the Send button when ready to send.

11. Reading Attachments

a. If you have an attachment, you will see a paperclip icon to the right of the closed message envelop in your Inbox..
b. Open the message containing the attachment.
c. Within the body of the email you will see an icon similar to the one below representing the attachment.
d. Single-click on the icon to open it.

Note: CTSFW Web Access will ask you to save the attachment to your hard drive prior to opening it. You should virus check all incoming attachments. Never open attachments from someone you do not know or if the attachment looks suspicious.

12. Logging Off

Simply click the Log Off button.This button will log you out of the email system. You can then hit the close button to exit out of browser.
